How to Work With Status in Reports.re

In Reports.re, you can assign statuses to show a task’s progress. These labels let you and your team instantly see where a task stands, making it easier to manage priorities, track progress, and coordinate work.

Follow the steps below to understand how statuses work and how to update them.

1. Types of Statuses

There are nine statuses, each representing a stage of work:

  • Waiting – The task has been created but hasn’t started yet.
  • Sources Needed – The task cannot move forward until the necessary files or references are provided.
  • In Process – Work is actively being done.
  • To Correct – The task has been reviewed and needs revisions.
  • To Approve – The task is finished and awaiting approval from a manager or client.
  • Approved – The task has been approved, but not all resources have been delivered yet.
  • Ready – The task is completely prepared — approved and all materials are in place.
  • On Hold – The task is temporarily paused.
  • Canceled – The task has been stopped and will not continue.

2. Setting the Initial Status

  • You can set a status when creating a task or a chat.
  • The status you choose at creation becomes the initial status of that item.
  • After creation, both you and the assigned executor can update the status as work progresses.

3. Updating Task Status

  • Hover over the task snippet.
  • Click the current status label.
  • Select a new status that matches the task’s current stage.

If multiple executors are assigned:

  • Click the status label and select a new status.
  • You can choose a particular executor and update only that person’s status.
  • You can apply the status to all executors at once.
  • Once applied, the overall task status automatically reflects the lowest status currently assigned among all executors. 

For example, in this task the status remains “Waiting” even if another executor is marked “Sources Needed,” because the task reflects the lowest status currently assigned.

4. Returning a Task to a Lower Status

If you move a task from “To Approve” back to a lower status (e.g., “To Correct”):

  • A chat window will open asking you to explain the reason.
  • You can create a new chat or add the reason to an existing chat.
  • Once saved, the task status will update.

5. Managing Status in the Assignment Window

  • Click an executor’s avatar to open the assignment window.
  • You can review personal statuses and task status side by side.
  • By clicking on an executor’s personal status, you can directly set their status.

6. Managing Status from the Task Panel

  • Open a task by clicking on it.
  • In the status panel (top-left corner), update the task's status.
  • From here, you can also open the assignment section to see each executor’s detailed status.

7. Managing Status in Chats

  • Open a chat

Update its status from the status panel in the bottom-right corner by:

  • Dragging their avatar to the desired status.
  • Or clicking the status to assign statuses individually.
  • You can also assign status to all executors at once.

8. Automatic Task Status from Chats

  • A task’s status always reflects the lowest status among all its chats.
  • For example, if most chats are marked “To Approve” but one is still “Waiting,” the task’s status will show “Waiting.”
  • If a change would update the task’s status, a prompt will appear asking if you want to apply the change.
  • For example, all chats are “To Approve” except one “Waiting.”
  • When you update that last chat to “To Approve,” the system asks if you want to update the task’s status.
  • Click “Yes” to update the task’s status so it matches all chat statuses.

9. Filtering by Status

In the tasks and chats section, use filters to track items more easily:

  • All To Do – Shows items still in progress (“Waiting,” “In Process,” “To Correct”).
  • All Done – Shows items finalized or paused (“To Approve,” “Approved,” “Sources Needed,” “On Hold,” “Ready,” “Canceled,” ).
  • You can also filter by a specific status to focus only on what you need.
