Auto-Assigning Tags to Uploaded Files

Reports.re allows you to automatically assign tags to uploaded files using the Automation feature. This is particularly useful for workflows that require language version tagging, like automatically tagging a video file as "English" when uploaded during the Video Edition task.

Follow the steps below to set up a tag automation rule and streamline your file-tagging process.

1. Access the Automation Panel

  • Go to Workspace Settings from the left navigation panel and select Automation.
  • From the options, got to the far-right and choose "Automation of Tag Assigning".

2. Create a New Automation Rule

  • Click "Create Automation of Task Assigning" button at the bottom of the automation list.

3. Select the Tag to Assign

  • Choose the tag you want to be automatically assigned (e.g., "English").
  • If this tag should be set as the primary tag, click it to mark it as such.

4. Define Card Criteria

  • Select the card type to which this rule applies.
  • Choose the card group if relevant.
  • Optionally, select a card tag to further narrow the rule.

5. Define Task Criteria

  • Select the task type (e.g., Video Edition).
  • Choose the task executor (e.g., the person handling the task).
  • Optionally, assign a task tag for more specific targeting.

6. Set File Matching Conditions

  • Define the file name pattern (e.g., contains "v2" or "final"), and specify whether the file name should start with, end with, or simply contain this pattern.
  • Specify the file extension (e.g., .mp4, .mov).
  • Choose the file location within the task (e.g., root folder). You can also specify whether the rule applies only to this folder or to all subfolders (by default).

7. Save the Automation Rule

  • Click "Add" to save your automation rule.

8. Test the Automation

To test if your rule is working:

  • Open a card that matches your defined criteria.
  • Go to the specified task (e.g., Video Edition).
  • Upload a file to the root folder.
  • Once uploaded, the file should be automatically tagged with the selected tag (e.g., "English").
