When creating a task using a scenario, you can automatically assign users without manual setup. This helps ensure the right people are assigned instantly, making your workflow faster and more consistent.
What is Automatic Task Assignment?
Automatic task assignment allows Reports.re to assign users to tasks based on predefined settings.
For example, when the English video editing task is created, specific users like Alex and Taylor can be automatically assigned as executors without needing to select them manually each time.
How to Set Up Automatic Assignment
1. Open Workspace Member Settings
- Go to Workspace Settings.
- Select Workspace Members.
- Open the People section to view the list of users.
2. Set Automatic Assignment for Users
- Find the user you want to assign (e.g., Alex or Taylor).
- Click the assignment icon.
- In the window that appears, select the user’s role (e.g., Executor).
- Enter the task type (e.g., Video Editing)
- Add the relevant tag (e.g., English Language Version).
- Select the group (e.g., Sir Zane Travel).
- Click the plus icon to save the assignment.
Repeat the same steps for other users if needed.
3. Apply Settings in Task Scenario Automation Setup
- When you are setting up Task Scenario Automation, in the Executor step, choose People.
- Select Assign Automatically.
- Choose Assign based on Executor Settings.
How It Works in a Scenario
With this setup:
- Tasks will follow the assignment rules you created.
- For example, once the Screenplay and Videographer tasks are approved, the Video Editing task will be created.
- Alex and Taylor will be automatically assigned as Executors based on the settings.
